Markage is looking for a Entity Compliance Specialist to join our Canadian team in an on-site role based in Calgary, Vancouver, or Toronto. This role focuses on maintaining legal-entity records, recurring filings, registrations, governance information, and compliance calendars. You will help keep each entity's information complete and current, track routine obligations, coordinate supporting documents, and maintain evidence that required administrative compliance work has been completed. You will work with legal and compliance leads, finance, administration, external counsel, registered agents, and internal entity owners. Clear communication, reliable follow-through, and careful work are expected. AI-assisted tools may be used for entity research, document preparation, record comparison, deadline tracking, summaries, and compliance documentation. All AI-assisted work must be reviewed for accuracy, relevance, confidentiality, and fit before it is shared or used.
Essential duties
- Maintain legal-entity profiles, records, registrations, addresses, officers, directors, and other required information.
- Track recurring entity obligations, annual filings, renewals, licences, and jurisdictional deadlines.
- Prepare routine entity-maintenance documents and supporting materials for review or signature.
- Maintain compliance calendars, filing evidence, confirmations, and organized corporate records.
- Coordinate information requests across finance, administration, legal, and external service providers.
- Review entity records for missing, inconsistent, outdated, or unsupported information.
- Support entity formations, changes, closures, or registrations under established procedures.
- Research routine filing requirements and document findings clearly for review.
- Escalate legal interpretation, unusual risk, or non-routine compliance issues to appropriate counsel or leadership.
- Maintain confidentiality across ownership, governance, legal, and business information.
Essential requirements
- Experience with corporate records, registrations, filings, legal administration, compliance operations, or comparable detail-sensitive work.
- Strong document control, deadline tracking, research, and record-maintenance skills.
- Ability to handle confidential legal and business information carefully and accurately.
- Holds a valid Dex Professional Specialist Certification (DEX-PSP) in the Legal domain.
Preferred qualifications
- Experience with multi-entity or multi-jurisdiction corporate administration.
- Experience with entity-management, legal-operations, or corporate-record systems.
- Diploma or degree in legal administration, paralegal studies, business, compliance, or a related field.
